HoneyBook vs Bonsai: which one fits your business?

They overlap a lot, with proposals, contracts, invoices and payments in both, but they bill on different axes and are built for different kinds of work. Pick by where you are, how you bill, and how many people need a login.

The short answer

  • Outside the US, Canada, the UK and Australia? HoneyBook isn’t an option, so the choice is made for you.
  • Solo and billing by the hour: Bonsai. Essentials is $25 a month ($19 annually) and includes time and expense tracking.
  • Event, photography or booking-led work in those four countries: HoneyBook. The scheduler, payment schedules and questionnaires were built for it.
  • Both charge processing fees on client payments they handle. Bonsai charges per user, so a team multiplies its bill.

USD list prices from each vendor’s pricing page, checked 12 October 2026. HoneyBook plans: Starter / Essentials / Premium. Bonsai plans: Basic / Essentials / Premium / Elite (Elite has a three-user minimum). “Not verified by us” means we haven’t checked it, not that it’s missing.

The pricing difference that matters

The headline prices look close. The billing models aren’t. HoneyBook charges per account: you pick Starter, Essentials or Premium and pay that plan’s price. Bonsai charges per user: each person with a login is another $15 to $59 a month.

For one freelancer, Bonsai is cheaper. The cheapest Bonsai plan that can send a proposal is Essentials at $25 a month, or $19 a month billed annually. The cheapest HoneyBook plan, Starter, is $36, or $29 billed yearly. Watch the Bonsai entry price: the $15 Basic plan covers time tracking, tasks, projects and a CRM, but it can’t send proposals, contracts or invoices. We break this down plan by plan in Hello Bonsai pricing 2026.

With a team, Bonsai’s per-user pricing compounds. Three people on Essentials cost $75 a month; five cost $125. On Premium, which adds the deals pipeline, integrations and removing Bonsai branding, five people cost $195. HoneyBook doesn’t publish per-plan seat counts on its pricing page, so we can’t give you a verified five-person HoneyBook price. Ask them before you assume Starter covers everyone.

Payment fees: both take a cut

Both tools process client payments themselves, and both charge for it. HoneyBook publishes its rates: US card payments from 2.9% + 25¢ on its pricing table (its FAQ says from 2.7% + 10¢), bank transfers at 1.5%, and an optional 1% for instant deposit. We go through the arithmetic in HoneyBook fees in 2026.

Bonsai’s pricing page says only that it charges processing fees for online payments, varying by payment method, and points to a help article. We haven’t verified those rates, so we won’t quote them. Before you choose on fees, look at the real rate on your usual payment size in each tool. On a $5,000 project, the processing fee can be bigger than a year’s difference in subscription.

Where HoneyBook is the better choice

Booking-led work. Photographers, planners and venue-adjacent businesses will find HoneyBook’s flow fits without bending: inquiry, scheduler, questionnaire, contract, deposit and payment plan, in that order. That’s the work it was built around.

You want payments fully inside the tool. Payment schedules tied to milestones, collected through the same platform as the contract, take a real chore off your plate. HoneyBook’s US financial products, like capital advances, have no equivalent at Bonsai’s price.

You want time to decide. A 30-day trial and a 60-day money-back guarantee give you a real month of client work to judge it. Bonsai’s trial is seven days.

Where Bonsai is the better choice

You bill hourly. Bonsai’s time tracking is on every plan, and Essentials adds expense and income tracking. If your invoices are built from timesheets, that’s the deciding feature.

You’re not in HoneyBook’s four countries. HoneyBook serves businesses in the US, Canada, the UK and Australia. Everywhere else, including India and the EU, you can’t sign up. Bonsai’s pricing page shows no such restriction.

You’re solo and price-sensitive. At $19 a month on annual billing, Bonsai Essentials is the cheaper of the two for one person, and you still get proposals, contracts, invoices, a client portal and scheduling.

If neither quite fits

We make ApeiroCraft, a third option, so weigh this paragraph accordingly. It fits a narrower case than either tool above: you mostly send proposals and invoice for them, more than one person needs access, and you want to choose how clients pay. Proposals go out as links with read tracking and an e-signature. An accepted proposal becomes an invoice in one click, and the invoice links to your own payment page. ApeiroCraft never processes payments, so it takes no cut. Pricing is flat per account: free for one person (3 proposals and 3 invoices a month), $19 a month for three people, $79 for five.

It isn’t a full replacement for either. ApeiroCraft has no time tracking (Bonsai does), no scheduler (both do) and no client portal (Bonsai has one from Essentials). If those are why you’re looking, choose one of the two above. If you want to keep comparing, we have one-to-one pages for HoneyBook and Bonsai, plus lists of HoneyBook alternatives and Bonsai alternatives.
