Client management · the whole relationship, one record

Client management software that keeps every client in one record, from proposal to paid.

ApeiroCraft is client management software for freelancers and small agencies. Each client record holds the proposal, the signature, the invoice, the tasks and the notes, so you open one page instead of five tools. The free plan holds 20 contacts; $19/mo holds 250.

What is client management software?

Client management software keeps everything about a client in one record: contact details, the proposals sent to them, what they signed, what they were invoiced, and what is still owed. It differs from a sales CRM in what it optimises for — a CRM is built to manage a pipeline of many prospects, while client management is built around delivering and billing work already won.

The practical difference shows up at the handoff. In a CRM, a closed deal exits the system and the real work starts somewhere else. In client management, the closed deal is the beginning of the record: the signed proposal, the invoice raised from it, and the notes taken during delivery all attach to the same contact.

ApeiroCraft is built on that second model. Contacts, proposals, invoices, tasks and notes share one database, so a signed proposal becomes an invoice against the same contact with no export step. Capacity runs from 20 contacts on the free plan to 10,000 on Agency.

Five tools' jobs. One client record.

CRM

Every client is one record: contact details, stage, and everything that's ever happened — proposals, invoices, tasks, notes — in a single thread.

Proposals

Interactive proposals with read tracking and tamper-evident e-signature. The moment of 'yes' updates the client record automatically.

Invoicing

Accepted proposals become invoices in one click. Clients pay at a public link; overdue invoices flag themselves.

Tasks

Kanban tied to clients, not floating in a separate tool. Assign, drag, done — and the whole team sees it.

Notes

A real-time team wiki with @mentions, linked to contacts, proposals, and invoices. Institutional memory that survives Slack.

Built for a specific kind of business?

Separate tools mean the client's story lives nowhere.

When the CRM, the proposal tool, the invoice tool, and the notes app are four products, the answer to “what's the state of this client?” is a fifteen-minute archaeology dig. Every handoff between tools is somewhere data gets retyped, forgotten, or lost.

In ApeiroCraft the handoffs don't exist. The proposal is already on the client. The signature updates the pipeline. The invoice inherits the line items. The notes @mention your teammate on the same record. One query answers everything: open the client.

Client management, explained.

What is client management software?

Software that keeps everything about a client relationship in one place: who they are, what you've quoted them, what they've signed, what they owe, and what you're doing for them. It differs from a pure CRM (which focuses on the sales pipeline) by covering the whole lifecycle — including delivery and billing.

Who is ApeiroCraft's client management built for?

Freelancers, small agencies, studios, and consultancies — service businesses where the same client flows from first conversation to signed proposal to paid invoice to ongoing work. It is deliberately not built for enterprise sales teams with forecasting and lead-scoring needs.

Does it replace my separate CRM, proposal, and invoicing tools?

That's the point. One flat subscription covers CRM, proposals with e-signature, invoicing, kanban tasks, and team notes. Because they share one database, the proposal you send is already attached to the client, and the invoice inherits the proposal's line items.

What does it cost?

There's a free plan with no time limit, and flat paid plans from $19/month (Solo, 3 people, 250 contacts), $79 (Team, 5 people, 2,000 contacts), and $149 (Agency, 20 people, 10,000 contacts). Every plan includes every feature — tiers only change capacity like seats, workspaces, contacts, and monthly volume. The free plan holds 20 contacts, one workspace and one seat.

Do my clients need to log in?

No. Clients open a public link to read and sign a proposal or to pay an invoice, with no account and nothing to install. Only your team signs in to the workspace.

Is it just a simple contact list?

No, but it is deliberately not an enterprise CRM. Each contact carries its proposals, invoices, tasks and notes, so the record answers “where does this client stand?” without a search across tools. It does not do sales forecasting or lead scoring.

How is this different from FreshBooks?

FreshBooks is accounting first and keeps clients rather than a sales pipeline; its proposals start on the $43/month Plus plan as of October 2026. ApeiroCraft starts from the client relationship and does not do bookkeeping, expenses or payroll, so some businesses use both.

How do I migrate from spreadsheets or another tool?

Import them from a CSV export of your old CRM or spreadsheet, up to your plan's contact limit. If the columns don't match, the importer gives you a prompt to paste into Claude or ChatGPT that reshapes the export for you. Your existing tool can keep the history, and new proposals and invoices are created fresh in ApeiroCraft, so there is nothing to migrate before your first send.

One place. Every client. The whole story.
