Why invoices get paid late.

Late payment is rarely about the client not having the money. It is usually an invoice that was unclear, sent to the wrong person, or easy to put off. These are the six most common causes, and each one is fixed on the invoice itself.

No due date

“Payable on receipt” and “net 30” both get read as “whenever”. A date, written out, gives the client something to put in their calendar and gives you a clear day to follow up.

Lines nobody can check

A single “design work — $4,000” line invites questions. One line per deliverable or phase, with quantity and rate, lets the client's finance team approve it without emailing you first.

Missing how to pay

If paying needs a second email asking for bank details, it waits. Put the payment link or account details in the notes, every time.

Wrong person

Ask during the project who approves invoices. Sending it to your day-to-day contact when accounts payable needs it adds a week.

Retyping the proposal

Copying line items from a signed proposal into an invoice is where the numbers stop matching. Start the invoice from the agreed scope, not from memory.

Not knowing it was seen

A PDF attachment can't tell you whether it was opened. If you never know, every follow-up is a guess about whether the client ignored it or never received it.

Know when the invoice is opened.

Send invoices as links from ApeiroCraft. You see when the client opens one, it carries your payment link, and a signed proposal becomes an invoice in one click, with nothing retyped.

Free plan: 3 proposals and 3 invoices sent a month, no credit card. Solo is $19/mo for up to 3 people.

Send invoices as tracked links

Freelance invoices, answered.

What should a freelance invoice include?

Your name or business and contact details, the client's details, a unique invoice number, the issue date and due date, a line for each piece of work with quantity and rate, the total, and how to pay. Many countries also require a tax or business registration number, so check what applies where you work.

How should I number my invoices?

Use a simple sequence that never repeats, such as 001, 002, 003, or one that includes the year, such as 2026-014. Don't reuse a number after cancelling an invoice; issue a credit note or mark it void instead, so your records stay in order.

What payment terms should I use?

Fourteen or thirty days after the invoice date are common for freelance work, and shorter terms are fine when they were agreed up front. Whatever you choose, put the actual due date on the invoice rather than only “net 30”, because a date is harder to overlook.

Is anything I type saved?

No. The invoice is calculated in your browser as you type. Nothing is sent to a server, and closing the tab clears it.

What's the difference between this and sending invoices from ApeiroCraft?

This makes a one-off document. In ApeiroCraft an invoice is a link: you see when the client opens it, it carries your payment link, and it can be created from a signed proposal in one click instead of retyped. The free plan sends 3 invoices a month.
