For landscaping contractors
A maintenance contract is forty visits. Get them agreed in one signature.
Landscaping work splits two ways: one-off installs — a patio, turf, planting beds — and recurring maintenance across a season. Both are usually quoted after a walk round the property, then sent as a text, a photo of a handwritten estimate, or a PDF. The recurring work is where it goes wrong: frequency, what 'tidy-up' includes, leaf season, and what happens in a dry month all get settled on the doorstep, one visit at a time.
ApeiroCraft lets you send the estimate or seasonal contract as a link: the service schedule, season dates, inclusions and exclusions, and the price per visit or per month. You see when it's opened and re-opened, the customer signs in the browser, and the accepted proposal becomes the first invoice in one click.
Where landscaping contracts unravel.
'While you're here…'
Hedge cutting, weeding the back border, clearing a gutter: small extras requested on site become expected on every visit, and the contract price never moves.
The season nobody defined
Does the contract run March to October, or year-round? Is a missed week in a drought refunded, or skipped? Without dates and rules, every quiet month invites a dispute about the bill.
Commercial sites, slow sign-off
Property managers and facilities teams forward quotes internally and go quiet. You can't tell whether the estimate is with the decision-maker or still unopened in an inbox.
Walk the site, send the link, start the season.
Service schedule as a document
List each task — mowing, edging, hedge cuts, leaf clearance, bed maintenance — with its frequency, so the customer signs exactly what a visit includes.
See if the property manager opened it
The link records each open and re-open. When a commercial quote is reopened after a week, it's probably being reviewed — the right time to call.
Signed in the browser
Homeowners sign on their phone. The signature records name, email, IP address and a UTC timestamp and can't be altered, so the scope is fixed for the season.
First invoice from the signature
Convert the accepted proposal to a draft invoice in one click, adjust it to the first month or the install deposit, and send with your own payment link.
What a landscaping proposal has to include.
Install quotes need the basics: materials, dimensions, access. Maintenance contracts need more, because they're agreed once and tested on every visit.
Tasks and frequency
If it's left vague
'Weekly maintenance' means mowing to you and full garden care to the customer.
With ApeiroCraft
List each task and how often it's done, and name what's never included in a standard visit.
Season and weather
If it's left vague
A wet spring or a drought month leads to an argument about skipped visits.
With ApeiroCraft
State the season's dates, how weather-cancelled visits are handled, and whether the price is per visit or fixed monthly.
Green waste and materials
If it's left vague
Clippings, leaves and cuttings pile up because nobody agreed who removes them.
With ApeiroCraft
Say whether waste is removed or composted on site, and how materials like mulch or turf are priced.
Extras and call-outs
If it's left vague
On-site requests are done for free because there's no agreed rate.
With ApeiroCraft
Give a rate or process for extra work, and say it's only done once confirmed in writing.
Term and notice
If it's left vague
A customer stops replying mid-season and you don't know whether the contract is live.
With ApeiroCraft
State the contract length, renewal and the notice either side must give.
- Monthly invoices raised against the same client record.
- Pipeline view for estimates out, live contracts and renewals.
- Tasks for seasonal jobs like spring tidy-ups and autumn leaf clearance.
Common questions.
How do landscaping and lawn care businesses price their work?
Maintenance is usually priced per visit, as a fixed monthly fee across the season, or as an annual contract split into equal payments. Installs are typically fixed-price quotes built from materials and labour, sometimes with a deposit for materials. Extras are often charged at an hourly or day rate. ApeiroCraft holds the structure you use; it doesn't set prices.
What does a seasonal maintenance proposal look like?
A short note on the property; a schedule listing fortnightly mowing and edging from spring to autumn, monthly bed weeding, two hedge cuts and one leaf clearance; green waste removed; a monthly fee; a rule that weather-missed visits are rescheduled within the week; and a 30-day notice period. The customer opens it on their phone that evening, signs the next day, and you convert it to the first month's invoice.
When is ApeiroCraft the wrong tool for a landscaping business?
If you need route planning, crew scheduling, GPS check-ins, recurring jobs on a calendar or automatic recurring billing, use field-service software — ApeiroCraft has no scheduler or dispatch. It's a fit for getting estimates and contracts signed and invoiced, and keeping the customer record, especially for smaller crews.
Can I quote on site from my phone?
ApeiroCraft runs in the browser, so you can duplicate a saved proposal, edit the details and send the link without going back to the office. The customer opens and signs it on their phone.
Can I bill commercial clients with tax?
Yes. The tax-rate field on each invoice is editable, and invoice currency is set per invoice. ApeiroCraft doesn't file tax returns; it just puts the rate you set on the invoice.
