For wedding photographers

A wedding date is only yours once the retainer is signed.

Wedding enquiries arrive a year or more out, often from a couple who are emailing four photographers the same afternoon. You reply with a collection guide, they ask about the second shooter and the album, you send a contract, then an invoice for the retainer — three documents over a fortnight, while the date sits unprotected and another couple asks for the same Saturday.

ApeiroCraft collapses that into one proposal link. The collections, coverage hours, deliverables and retainer terms sit in one document; you see when the couple opens it and when they come back to it; they sign in the browser; and the accepted proposal becomes the retainer invoice in one click.

Where wedding bookings slip away.

Two decision-makers, one inbox

The couple reads the quote, but a parent who is paying wants to see it too. The PDF gets forwarded, re-forwarded, and you have no idea whether it has reached the person who actually says yes.

The date held on goodwill

A couple says 'we love it, we're booking you' on a call. You decline the next enquiry for that Saturday. The signed contract and retainer never arrive, and the date is now empty with eleven months' notice gone.

The album nobody priced

Second shooter, engagement session, travel beyond your radius, album spreads, delivery timeline: if these were agreed in a long email thread, the questions come back on the morning after the wedding, when it's hardest to say no.

From enquiry to retainer in one link.

Step 1

See when they keep coming back

The proposal is a link, not an attachment. You see when it's first opened and each time it's reopened — a couple returning to it on three evenings is a couple deciding, and the right moment for a short note.

Step 2

Contract terms signed with the price

Coverage, deliverables, postponement and cancellation terms live in the same document the couple signs. The signature records name, email, IP address and a UTC timestamp, and can't be altered afterwards.

Step 3

Retainer invoice from the signature

Once accepted, one click turns the proposal into a draft invoice with the same line items. Set it to the retainer, add your own payment link, send. Convert again later for the balance before the wedding.

Step 4

The wedding's details in one place

The pipeline holds every enquiry by stage; notes hold the family-group list and venue rules; tasks hold the reminders for timeline calls. All attached to the couple, not scattered across email.

What a wedding photography proposal has to include.

Most disputes in wedding work aren't about the photographs. They're about something both sides assumed and nobody wrote down. These are the sections to write before the couple signs.

Coverage hours and overtime

If it's left vague

'Full day' means getting-ready to first dance to you, and to the couple it means until the sparkler exit.

With ApeiroCraft

State start and finish times, what happens if the day runs late, and how extra hours are charged — signed alongside the collection.

Second shooter and assistants

If it's left vague

The couple assumes two photographers because your portfolio shows both sides of the aisle.

With ApeiroCraft

List the second shooter as its own line, included or optional, so it carries into the invoice exactly as agreed.

Deliverables and timeline

If it's left vague

'All the good ones' and 'a few weeks' become a running argument about image counts and delivery dates.

With ApeiroCraft

Write an approximate image range, the gallery format, the sneak-peek window and the full delivery window.

Retainer, postponement and cancellation

If it's left vague

A couple postpones, asks for the retainer back, and the only record is a sentence in an old email.

With ApeiroCraft

Say what the retainer secures, whether it transfers to a new date, and what's due if the wedding is cancelled.

Usage and the RAW-files question

If it's left vague

A family member asks for RAW files, or a vendor publishes the images in an advert without asking.

With ApeiroCraft

Spell out personal-use licensing for the couple, your portfolio rights, and whether RAWs are ever supplied.

Common questions.

How do wedding photographers usually structure their pricing?

Most use collections: two or three packages built from coverage hours, a second shooter, an engagement session and an album, with add-ons priced separately. Payment is usually a retainer at signing to hold the date and a balance due before the wedding, sometimes split into instalments. ApeiroCraft doesn't set any of those numbers; it puts the collections and payment schedule in one signed document.

What does this look like for a real enquiry?

Say a couple enquires about a Saturday next September. You duplicate your wedding proposal, adjust the coverage hours to their venue, and send the link that evening. Two days later you see it has been opened four times, so you send a short note offering a call. They sign on Sunday; you convert the proposal to an invoice, set it to the retainer, and send it with your payment link. The balance invoice goes out from the same proposal two months before the date.

When is ApeiroCraft the wrong tool for a wedding photographer?

If you need couples to book consultation calls from a calendar, fill in a questionnaire inside a client portal, or log in to see their gallery, ApeiroCraft doesn't do those things — there is no scheduler, no client login and no gallery hosting. Many photographers pair it with a separate booking link and a gallery service. If you want one tool for all of it, an all-in-one CRM may suit you better.

Can both partners sign the proposal?

The proposal is a link, so either partner can open it and you'll see the opens. The signature captures the signer's name, email, IP and timestamp. If you need both names on record, list both partners as the clients in the proposal text and confirm which of them is signing.

Can I charge in another currency for a destination wedding?

Yes. Invoice currency is set per invoice, and the tax-rate field is editable, so a wedding abroad can be invoiced in the currency you agreed with the couple.

Is there a template to start from?

Yes — the photography proposal template includes package tiers, an hour-by-hour day plan, usage rights and a payment schedule. Pick it during setup and edit the wedding-specific parts.

Send your next wedding proposal as a link.

Start from the photography template, set up your collections once, and see when the couple opens it.
