Photography proposal template
Photography clients are buying certainty about a day they can't redo. This template sells that certainty: the vision, the plan for the day, exactly what they receive, and terms that protect you both.
Sent as a link with read tracking and verified e-signature — not a PDF. Free plan, no credit card.
What's in the template.
Every section below exists to answer a question your client is silently asking. Use the example copy as a starting point and replace the specifics.
- 1
The vision
Reflect their brief in visual language. This is where they decide you 'get it' — before they ever reach the price.
“You described wanting the launch event to feel candid and warm rather than corporate — more editorial than press release. We'll shoot documentary-style through the evening: real conversations, real reactions, with a 20-minute window of directed portraits of the founding team at golden hour.”
- 2
Packages
Three tiers with a clearly recommended middle. Name the differences in outcomes (coverage, images, turnaround), not gear.
“Essential: 3 hours, 150+ edited images, 2-week delivery — $1,200. Full Story (recommended): 6 hours, 350+ edited images, second shooter, 10-day delivery — $2,400. Complete: full day, 500+ images, second shooter, next-day preview set of 30 — $3,600.”
- 3
The day, hour by hour
Logistics are the anxiety. A simple schedule removes it and shows you've done this before.
“4:30 — arrive, scout light, detail shots. 5:30 — guests arrive, candid coverage. 7:00 — speeches (dual angle). 7:45 — golden-hour portraits. 9:00 — wrap. We coordinate directly with your event planner so you never manage us.”
- 4
Deliverables and timeline
Numbers and dates: how many images, edited how, delivered where, by when.
“350+ individually edited high-resolution images in a private online gallery within 10 business days; a 30-image preview within 48 hours. Full print rights included; RAW files are not included (they're the negatives).”
- 5
Usage rights and terms
The section that prevents every future argument: usage, rescheduling, weather, deposit.
“You receive unlimited personal/internal-marketing usage; commercial advertising usage is licensed separately. Reschedule up to 14 days before at no cost. A 30% deposit reserves the date — dates are only held once signed.”
- 6
Next step + signature
Date scarcity is real in photography — signing IS the booking, and the deposit invoice follows instantly.
“Sign below to reserve October 14th. The deposit invoice arrives right after signing; the date is yours once it's paid.”
Example pricing section
Full Story package (recommended)
$2,400
Extra hour of coverage
$300
Deposit to reserve date (30%)

In ApeiroCraft these line items flow straight into the invoice after signing — nothing gets retyped.
Tips that win photography work
- Signature = booking. Wiring the deposit invoice to fire on acceptance turns 'let me check' into a reserved date.
- The recommended-middle package should be the one most clients actually need; honesty here drives referrals.
- Address the RAW-files question in the proposal — it's asked either now or angrily later.
- If the proposal is opened but unsigned after 48 hours, mention the date is still open — true scarcity, honestly stated, closes.

Should photography proposals show prices publicly?
In the proposal itself, always — package tiers with a recommended middle convert far better than 'contact for pricing.' Whether your website shows prices is a separate marketing decision.
How much deposit should I ask for?
25–50% is standard; 30% is a comfortable norm. What matters most is that the date is only held once the proposal is signed and the deposit paid — and that the proposal says so plainly.
How do I use this template in ApeiroCraft?
Click 'Use this template free' — your workspace is ready in under a minute. The client signs on the proposal link and the deposit invoice is one click away, so the booking closes in a single sitting.
Do I need a separate contract?
The proposal's terms section plus the verified e-signature covers most shoots: scope, usage rights, reschedule policy, and deposit terms, signed and timestamped. High-liability work (large commercial campaigns) may justify a lawyer-drafted agreement on top.
Send it where you can watch it get signed.
This template as a tracked, e-signable link — with the invoice one click away once your client says yes.
