Best proposal software for marketing agencies in 2026.

Nine tools a marketing agency might trial, plus ours. Not ranked, because we make one of them.

Who wrote this

ApeiroCraft publishes this page and makes one of the ten tools on it. So nothing is ranked, what each competitor is and when to choose it are quoted word for word from the comparison page it links to, and a section below lists where a competitor is the better buy for an agency. Some of these tools cost less than ours for a team of five, and the cards show which.

What is the best proposal software for a marketing agency?

For most agencies the deciding question is how the bill grows with the team. Per-seat tools such as PandaDoc, Proposify and Qwilr earn their price for a sales team that needs CRM integrations or section-level analytics. Flat-per-account tools such as Moxie, SuiteDash and ApeiroCraft charge per plan, so the bill moves in steps rather than with every hire. Then decide whether you need a white-label client portal.

This page is published by ApeiroCraft, which makes one of the ten tools listed. Nothing is ranked; tools are listed alphabetically, and every description of a competitor is quoted from the head-to-head comparison it links to.

Written by Shaish Guni, Founder, ApeiroCraft — every competitor description is quoted verbatim from that tool's own comparison page, and every price was read off the vendor's own pricing page by hand.Last reviewed Kathmandu, Nepal

What matters when an agency picks a proposal tool.

An agency's shortlist is decided by the team and the retainer, not by the editor. Four questions to answer before you trial anything.

How the bill grows with the team

Per-seat pricing multiplies with every account manager and strategist who needs to send. Flat-per-account pricing moves in steps. Work out the cost at next year's headcount.

Retainers as well as projects

Most agency revenue is monthly. Check what the tool does after month one is signed: whether later months are invoiced from the client record or retyped somewhere else.

Where the sales data has to live

If your pipeline is in Salesforce or HubSpot and the proposal has to connect to it, that narrows the list quickly. If it doesn't, don't pay for the integration.

Whose brand the client sees

Some agencies want proposals, invoices and a client portal under their own domain. That's a white-label feature, and only some tools sell it.

Nine tools a marketing agency might trial.

Alphabetical, not ranked. Each card says why the tool is here for an agency, then quotes its own comparison page on what it is and when to choose it.

And the one we make.

Listed last rather than first, for the obvious reason.

ApeiroCraft

proposals, e-signature, invoicing and CRM on one flat workspace price

Choose it if
You sell retainers and projects from a small team and don't want the bill to grow per seat. The monthly-retainer starter invoices the first month when the client signs; later months are raised from the same client record. Team members get Owner, Admin, Member or Viewer roles, and the Team plan holds 5 people across up to 7 workspaces.
Price
Free plan, then $19/mo Solo for 3 people · $79/mo Team for 5 · $149/mo Agency for 20
The cap that bites
No time tracking, no CRM integration with Salesforce or HubSpot, no client portal with logins, and nothing that connects to ad platforms or builds reports.
How ApeiroCraft works for marketing agencies

Where ApeiroCraft is the wrong answer for an agency.

If one of these is you, something else on this page is the better buy, and the line says which.

  • Your pipeline lives in Salesforce or HubSpot and the proposal has to connect to it. PandaDoc and Qwilr integrate; ApeiroCraft does not.
  • You want a white-label client portal under your own domain. SuiteDash is built around one and Plutio sells white-labelling as an add-on; ApeiroCraft has no client logins.
  • You bill hours against the retainer and want the timer to feed the invoice. Bonsai has time tracking; ApeiroCraft has none at any price.
  • A sales team reviews win rates by template and per-section analytics. Proposify and Qwilr are the stronger documents for that, and paying per seat for them can be the right call.
  • You need client reporting or ad-platform data next to the proposal. ApeiroCraft doesn't connect to ad platforms or build dashboards; reporting stays in your reporting tool.
  • More than 20 people need access. The Agency plan stops at 20; SuiteDash's staff are unlimited on every plan.

How this list was put together.

This is a slice of the full proposal software roundup: the tools from it that fit this reader, plus ApeiroCraft. The ones left out are still compared there, grouped by what they are.

What each tool is, and the reason to choose it, are quoted word for word from that tool’s comparison page; a build check fails the deploy if either drifts. The “why it’s on this list” line is ours, and restates facts from the same page for this reader.

Prices are list prices in USD excluding tax, read off each vendor’s own pricing page by hand, with the month shown on each card. There are no star ratings, scores or rankings: a vendor scoring its own competitors is not evidence.

Common questions.

Which proposal software is best for agency retainers?

One that handles month two as well as month one. In ApeiroCraft, the monthly-retainer starter invoices the first month when the client signs and its terms say later months are billed on the same date; you raise those invoices from the client record. It does not create recurring invoices automatically, so check how any tool you trial handles the months after the first.

Per-seat or flat pricing for a marketing agency?

At five people, from each vendor's own pricing page: ApeiroCraft $79/mo, Hello Bonsai $195/mo, Moxie $40/mo, Nusii $87/mo, PandaDoc $95/mo, Proposify $195/mo, Qwilr $175/mo, SuiteDash $49/mo. Plutio doesn't publish enough to work out a five-person figure. Per-seat tools aren't wrong — PandaDoc's CRM integrations and Proposify's analytics can be worth the gap — but the gap widens with each hire.

Is this list ranked?

No, deliberately. ApeiroCraft publishes this page and makes one of the tools on it, so any ranking we produced would be our own preference presented as a finding. Tools are listed alphabetically, and the structured data marks the list unordered so software reads it the same way.

Is there a free marketing agency proposal template?

Yes. There are free marketing, digital marketing and PPC proposal templates, and a retainer proposal template for the monthly engagement itself. None needs an account to read.
